Pinning holds a file or folder at a set index number, so it stays in the same position in your Data Room. Use it to keep key files and folders easy to find, or to keep a structure you built in Staging when you move it to the live Data Room.
Who can pin files and folders
Users in an Admin or Manager Permission Group, or with the Manage Users & Settings permission, can pin and unpin files and folders. Pinning is available only when file indexing is turned on.
Pin one file or folder
To pin a file or folder where it is now, right-click it and select Pin. Or select it and click the Pin icon at the top of the page.
To pin it to a new index number:
- Right-click the file or folder and select Change Index #. Or select it and click the Change Index # icon at the top of the page.
- Click Update Index to pin it to its current position, or type a new index number and then click Update Index.
Drag files and folders into place
- With nothing selected, click the Change Index # icon at the top of the page.
- Drag files and folders to the positions you want. Each item you drag is pinned to its new position.
- Click Save Changes.
Pin several items at once
- Select the files and folders you want to pin.
- Click the Pin icon at the top of the page.
- If you selected folders, choose an option in the Pin Item(s) window:
- Pin selected and all items inside selected folders: pins every file and subfolder inside the selected folders.
- Pin only selected items: pins the selected files and folders, but not what's inside the folders.
- Click Pin.
Items that were already pinned stay as they are.
Tip: Before you move or copy items from Staging to the live Data Room, select them all and pin them with Pin selected and all items inside selected folders. This keeps the order you set up in Staging.
Unpin files and folders
To unpin one file or folder, right-click it, select Change Index #, and click Unpin Indexed Position.
To unpin several items at once:
- Select only pinned files and folders. If any selected item isn't pinned, you see Pin instead of Unpin.
- Click the Unpin icon at the top of the page.
- If you selected folders, choose Unpin selected and all items inside selected folders or Unpin only selected items in the Unpin Item(s) window.
- Click Unpin.
Unpinned items go back to their default position, based on the indexing option in your Data Room settings.
Important: Changing the File Index option in Settings removes all pins. You'll need to pin the items again.
