Bulk Downloading, or Archiving, lets you download several files and folders from a Data Room to your computer as one zip file. You can also bulk download the whole Data Room.

Why enable or disable Bulk Download?

Bulk Download lets users download many files and folders at once. That's easier for users, but it makes analytics less precise: you see that a user downloaded a zip file, not which files inside it they actually looked at. Disabling Bulk Download for a Permission Group makes users download one file at a time, so analytics show exactly which files they download. Learn more in Analytics. ‌

Who can bulk download?

Bulk Download is set for each Permission Group. A Permission Group is a set of users who all get the same access. Users in a Permission Group with Bulk Download allowed can download several files and folders at once, and can bulk download the whole Data Room.

Download several files and folders

  1. In the Data Room, select the files and folders you want.
  2. Click Download at the top of the page.

The Data Room puts the files into one zip file. Small downloads start right away. For larger downloads, a Your Download is in Queue message appears, and the Data Room emails you a link when the zip file is ready. You can also check the status and download the zip file from Downloads in the left side panel.

Bulk download a whole Data Room

  1. In the Deal Manager Portal, go to the My Data Rooms table.
  2. Hover over the Data Room, and click the Bulk Download Data Room icon under Last Activity.

The zip file is prepared the same way: you get an email with a download link, and the file also appears in Downloads inside the Data Room.

Turn Bulk Download on or off

Only users with Admin or the Manage Users & Settings permission can change Bulk Download. There are two ways to do this:

  • On the Settings page
  • On the Manage Permission Groups page

On the Settings page

  1. Inside the Data Room, click the gear icon (Manage Users & Settings) in the left side panel, and select Settings.
  2. Open Additional Security, Features & Disclaimer.
  3. Select Disable Bulk Download. To change it later, click Edit next to it.
  4. In the Bulk Downloading window, choose enable or disable for each Permission Group, and click Change Bulk Download.
  5. Click Save Changes.

On the Manage Permission Groups page

  1. Inside the Data Room, click the gear icon (Manage Users & Settings) in the left side panel, and select Manage Permission Groups.
  2. Open a custom Permission Group.
  3. Under Controls, select or clear Disable Bulk Download.
  4. Click Save.
