By default, all files and folders in our data room platforms have a unique index number that identifies the exact file and its exact location within your data room to ensure accurate references among you and your users.

How indexing works

There are three ways to work with file indexing in your data room:

  1. Do not display index column in file explorer
  2. Display and index files and folders alphabetically
  3. Display and index files and folders by date modified

Before moving onto the steps, it is recommended for admins to choose a file indexing option prior to uploading any files, ensuring the correct order is in place. If the file indexing option is selected after files have been uploaded, please note that this will change the organization of files or folders that were in place.

How to enable / disable indexing

Only users with Admin or the Manage Users & Settings permission can enable / disable or edit indexing within a data room. There are two ways to enable indexing:

  1. Within the Settings page
  2. Within the File Index page within the Data Room

Within the Settings page:

  1. Go the Manage Users & Settings tab
  2. Go to Settings
  3. Open Advanced Settings
  4. Select your preferred File Index option and press Save Changes

Within the File Index page:

  1. Login to the desired platform (DealVDR, 17g5.com, or InvestorSet)
  2. On the left-hand panel, select File Index
  3. Select the second icon, which shows three lines and an arrow facing downwards. The options will show in a pop-up window.

4. Select the preferred file index option and confirm your understanding that any changes made will undo prior indexing.

5. Once the changes look good, select "Change File Index. The data room will now reflect the preferred option.
